HIGHLIGHTS of Executive Committee Meeting

- The meeting was called to order via Zoom at 10:09 AM.
Welcome and Reflection: Co-President Cathy Grantham shared Joe Kennedy’s quote: “When the Going Gets Tough, the Tough Get Going”. She also shared with us that the state elections were held via conference, as were the raffle prizes. Our own Linda Shank (new member 2019) won the first prize of $300.
Attendance: Cathy Grantham, Bonnie Brown, Becky Hutzell, Polly Martin, Karen Teach, Phyllis McCleaf, Carolyn and Dale Seburn, and Kathleen Pleasant - The Agenda and the Minutes (courtesy of Glenda Norris- typed and shared by Kathleen) were both approved.
- Treasurers -- Becky gave her report, and it showed a scholarship account balance of $186,516.44. She announced that this was an improvement. Carolyn shared her report, and indicated that due to the pandemic and everything being cancelled, that she would carry over the 2019-20 budget into the 2020-2021 year. She also wanted to bring to our attention, that while Becky’s number had increased, that it should still be of concern to us. For us to be able to continue to award 6- $1000 scholarships yearly, that account must never fall below $185,000. We will have to keep our eyes on this particular aspect of the budget to make sure it doesn’t. Carolyn also stated that should it fall below, there is enough money in her accounts to transfer some if needed. Both budgets were accepted.
- Phyllis McCleaf reported that both budgets have been audited and are fine.
- Belinda Rupp headed a discussion regarding awards which usually are presented at the October luncheon.
- Joanne Hilton sent a report stating that we currently have 556 total members. This includes 19 local, 4 associate and emeritus members. Our newest member since January is Susan Miller. She is hoping we will be able to get the names of the new retirees.
- Karen Teach plans on sending out a newsletter in early July, and then again in November (with reservation form for the December luncheon). Information for the July newsletter needs to be to Karen by June 16.
- Kathleen Pleasant informed the team that Facebook has been kept up with reassuring messages during this pandemic. She will also post highlights from this meeting stating that we are looking for volunteers to serve as Nominating Chair, Asst. Membership/Pre-Retirement, and Co-President.
- Kathleen also informed the committee that the Membership Sub-Committee has decided to cancel any and all previously scheduled activities until we can meet again in January.
- Dale Seburn shared that with the mandatory “shut down” that the paper is not really taking many articles. He will attempt to submit the photos and bios for the scholarship winners when he receives them.
- Belinda spoke again on behalf of the Social Committee regarding the problems we have been having with the Ramada. It is believed that since Ramada doesn’t charge us to rent the ballroom, that we get bumped when a paying group chooses that date. It was decided that we will need to seriously look into other areas for our luncheons.
- Tena Lane sent word that the picnic is cancelled for this year.
- Carolyn Seburn announced that she will keep updating the website as she receives information—particularly the photos and bios of the scholarship recipients.
- Bonnie Brown shared that between January and March, she has sent 12 sympathy cards, 9 get well cards. She is also keeping track of retirees who are not members of WCREPA so they can be remembered. As of this meeting, that number was 8 non-members have died.
- Old Business:
- Kathleen brought up Sheila’s request for guideline books for the co-presidents, which would be passed down. It was explained by Cathy, that these guide books were to be inclusive of the activities, dates and persons responsible for such. Kathleen explained to her that activities were developed by the sub-committee, presented to the executive board for approval, and then a calendar of events was presented. It was suggested that a contact list per activity also be included in the calendar for all committee members, and that a phone tree be established among the sub-committee members rather than relying on emails.
- New Business:
- Questions regarding a Death Benefit and Life Insurance were discussed. Carolyn believes that the Death Benefit ranges from $500-$1000 and that it was something that we would have had to sign up for to participate. Life Insurance is also still somewhat confusing for some of us, so Becky Hutzell said she would check on both issues and report later.
- Meals on Wheels was determined to be the recipient for outreach at the December luncheon. This was decided because they were to have been the recipient from the May luncheon that was cancelled; however it can be discussed at the July meeting.
- Next meeting (Zoom) will be Tuesday, July 21st at 10AM. Cathy will send a link.
